San Diego Office Administrator
The Opportunity
Glaser Weil seeks a proactive, resourceful Office Administrator to help manage our expanding downtown San Diego office. This role will be responsible for the efficient daily operation of the office while also providing critical support to the Office Managing Partner. The ideal candidate will thrive in a dynamic environment and play a key role in shaping the office’s success. The role reports to the Managing Partner of the San Diego Office.
Responsibilities:
- Serve as the primary administrative manager for the recently launched San Diego office, overseeing all facets of office operations and administrative functions.
- Implement and maintain efficient administrative policies and procedures for the San Diego office.
- Ensure a well-maintained, organized, clean office environment conducive to productivity.
- Manage the office calendar.
- Manage office supplies and coordinate with vendors for timely replenishment of supplies and office equipment repairs or upgrades.
- Coordinate office logistics, including incoming and outgoing deliveries and mail collection and distribution.
- Retain and file important records efficiently.
- Coordinate and oversee food deliveries for office-wide meetings.
- Set up conference rooms for meetings and lunches.
- Provide seamless onboarding for new hires, including coordinating with the IT Department and HR Department to ensure new employees have necessary equipment and access.
- Work with the IT Department to troubleshoot and resolve technical issues, ensuring minimal disruptions to office operations.
- Plan and coordinate office-wide events, working closely with the Business Development and Marketing Department to enhance brand presence and team engagement.
- Maintain strong vendor relationships and serve as the main point of contact for the office landlord, resolving any facility-related issues.
- Assist with preparing for and coordinating office relocations or future expansion efforts.
- Provide administrative and backup support to legal assistants and staff, as needed.
- Assist with scheduling candidate interviews, as needed.
- Greet visitors, offer refreshments and validate parking.
- Work on special projects, as needed.

- Adept at working both independently and as part of a team, fostering collaboration across departments.
- Strong leadership skills, with the ability to supervise and direct support staff as necessary.
Skills and Experience
- Bachelor’s degree.
- 5+ years of experience in office management, operations or administrative leadership, preferably within a professional services environment.
- Proficiency in Microsoft Office (Word, Excel, Outlook and PowerPoint); experience with project management tools is a plus.
- Ability to adapt to evolving business needs and demonstrate flexibility in hours worked, including extended or weekend hours as necessary.

The base compensation range for this position is $80,000 - $105,000. Compensation will be dependent on applicable experience and skillset of the candidate. These numbers do not reflect a successful candidate’s total compensation. Base compensation is only the guaranteed component of the total compensation package and does not include discretionary bonuses and the other career-enhancing opportunities of joining the Firm.
